What stays on your PC, what the business holds, and for how long.
RoomCaddie privacy policy
The short version
RoomCaddie runs on your PC and stays there. It sends nothing about you, your PC, or your room to us or to anyone. The only things that ever leave your PC are the two files you can choose to send us yourself, and one small request: on first launch, and once a week after that, it checks your licence key with our store and asks whether a newer version exists.
The business behind it holds only what a sale and a support email naturally leave behind: your name, your email, your order, and what you write to us. That is listed below, with how long we keep each.
Part one: the program on your PC
What RoomCaddie reads on your PC, and why
RoomCaddie looks at your PC once during setup, and again whenever you press "scan" in the editor, to offer you tiles for the programs you already have. It reads:
- Steam's library list, if Steam is installed: which games are installed
- The installed-programs list Windows keeps (the same list you see under
- Your Start Menu shortcuts, to find programs the installed-programs
- The Microsoft Store apps registered for your Windows user, by name.
- The golf simulator's folder, when it is in its usual place, to find the

All of that stays in memory during the scan. What you pick becomes a tile in your room file; what you do not pick is forgotten. Nothing about the scan is sent anywhere.
What RoomCaddie writes on your PC
Your room (tiles, folders, artwork choices, the pictures you add), your backups, your settings, your license key, and a log of what RoomCaddie itself did (started, launched a tile, came back home, saved, and so on). All of it lives in your Windows user's application-data folder. The log never records what you did inside the programs RoomCaddie launched.
What leaves your PC
Exactly three things, and two of them only when you choose:
- The key and update check. On first launch, then once a week when nothing is running, or when you press "Check for updates", RoomCaddie asks our store whether your key is still good and reads one small file from roomcaddie.com to learn whether a newer version exists. The request carries your key, an identifier for this PC and RoomCaddie's version number, and nothing else (the licence-key section below has the detail). Nothing downloads or installs by itself: a newer version is only ever a link you can open.
- The support info, if you send it. Settings > Support info copies a summary (versions, screen sizes, tile counts, recent launches, the last 200 log lines) to your clipboard or saves it to a file. Your Windows user name, every folder path, and your license key are removed before it leaves the PC. It goes only where you send it.
- A backup file, if you export one. It carries your room and its pictures, never your license key. It goes only where you save it.
RoomCaddie contains no analytics, no crash reporting, no advertising, no account, and no way for us to see that you are running it.
The license key
Your key is stored on your PC and shown to you only by its last four characters. It is never written into a backup or the support info.
On first launch RoomCaddie sends the key to our store to check it, and waits for the answer; this needs the internet once. Once a week, when nothing is running, the same request that looks for a newer version asks whether the key is still good. Each of those requests carries three things: the key, an identifier for this PC (a scrambled form of the Windows machine id - not the PC's name, not your user name), and RoomCaddie's version number. Nothing else. The store answers only whether the key is good and counts which of your PCs (up to three) it is on. If the request gets no answer - no internet, the store down - nothing changes. Only the store saying the key was refunded or disabled stops RoomCaddie. (The 1.0.0 release checked the key's shape on your PC and sent nothing; the release note of the version that adds the check says so.)
Websites RoomCaddie opens
A website tile opens the site in a browser window that RoomCaddie keeps separate from your everyday browser: its own sign-ins, its own history, on your PC. RoomCaddie never sees what you do on the site. The site's own privacy policy applies there.
Children
RoomCaddie is a tool for the owner of a room. It collects nothing from anyone, including children who use the room.
Part two: the business
When you buy
The purchase runs through our store, Lemon Squeezy, which is the merchant of record: it takes your payment and holds your card details under its own privacy policy, linked at checkout. We never see your card number. From the store we receive your name, your email address, your country, the order number, the date and the licence key it issued. We keep that order record for as long as tax and accounting law requires, which is seven years in the United States, and we use it for exactly two things: to answer you about your purchase, and to do the business's books and taxes. We do not sell it, share it, or use it to advertise to you.
When you write to support
Your email, what you write, and any support-info or backup file you attach are read by a person and kept in the support mailbox for twelve months after your ticket is closed, then deleted. We keep them that long so a follow-up or a refund question has its history; we use them for nothing else. The support info you send has already had your Windows user name, your folder paths and your key removed by RoomCaddie before it left your PC.
When you visit roomcaddie.com
The site has no analytics script, no advertising and no tracking cookies. Our web host keeps the standard server logs every website has - the address your connection came from, the page, the time, the browser type - for a short period for security and to keep the site running; the host and its retention are named here when the site goes live. Nothing on the site asks you to sign in, and nothing on it is a form except the ones you choose to fill in.
Mailing list
There is none at launch. If we ever start one it is opt-in only, every email has an unsubscribe link, and this policy is updated first.
Who else sees your data
Only the services that make the sale and the email work: the store, for the payment; our email provider, for the support mailbox; our web host, for the site. Each holds only what its job needs, under its own policy. No one else. We do not use advertising networks, data brokers or analytics companies.
Your rights
Wherever you live, you can ask us what we hold about you, ask us to correct it, or ask us to delete it, by writing to support@roomcaddie.com from the address you bought with. We answer within a month. The one thing we cannot delete on request is the order record while tax law requires us to keep it. If you are in the EU, the UK or another place with a data-protection law, the rights that law gives you apply in full, and you can also complain to your local data-protection authority.
Where your data is held
In the United States, with our store, our email provider and our web host. If you are outside the United States, buying from us moves your name and email here; the services we use hold them under their own safeguards.
Changes
If this policy changes, the new version is dated at the top, the change is described on the site and in the release note of the RoomCaddie version it applies to, and anything that would use your data in a new way does not happen until the new version is published.
